Packaging management as part of transfer journals

When using transfer journals to move on hand from one place to another, the process is more manually than using a transfer order and the movement will happen directly when posting the journal, without ship, transit and receive processes.

If wanted, the shipping packaging functions can be used in the journals, but in a more manual process than for order handling processes.

Packaging journal lines can also be created manually by using the process [Add packaging journal lines manually].

Only journal lines created by shipping packaging functions, can be removed by using the function [Remove packaging journal lines]. Journal lines can always be created and deleted manually.

Shipping note

A Shipping Note records the packaging used for a shipment. Each Shipping Note is connected to one or more Transfer Journals, which register changes in packaging balances for customers, vendors, or carriers. To ensure consistency and traceability, a Shipping Note cannot be deleted if related Transfer Journals exist.

Why This Rule Matters

  • Traceability
    Shipping Notes and Transfer Journals are linked. This connection ensures a clear history of packaging movements and balance changes.
  • Data Accuracy
    Packaging balances are updated through Transfer Journals. Removing only the Shipping Note would leave balance changes without a clear reference.
  • Error Prevention
    This rule prevents situations where documents are removed without properly handling related packaging data, which could lead to confusion during balance verification.

System Behavior

When attempting to delete a Shipping Note:

  • If related Transfer Journals exist
    → Deletion is blocked
    → The system informs the user that the Shipping Note cannot be deleted
  • If no related Transfer Journals exist
    → Deletion is allowed

How to Delete a Shipping Note

If a Shipping Note has related Transfer Journals, follow these steps:

  1. Delete the related Transfer Journal(s)
    This removes the connection between the Shipping Note and the packaging transactions.
    Note: Deleting Transfer Journals (allowed in standard MS D365 FO design) does not automatically correct packaging balances and leaves invent transactions. If balance adjustments are required, they must be performed manually (for example, by updating packaging data on a Shipping Note).
  2. Delete the Shipping Note
    Once no related Transfer Journals exist, the Shipping Note can be deleted.

  • Ensures users are aware of dependencies between documents
  • Promotes correct handling of packaging balances
  • Prevents using deletion as a shortcut instead of proper correction
  • Supports data consistency and auditability

Important Notes

  • Dependency Between Records
    Shipping Note lines are based on Transfer Journals.
  • System Behavior on Journal Deletion
    If Transfer Journals are deleted, related packaging lines on the Shipping Note may also be removed.
  • Balance Adjustments
    Packaging balances are not automatically corrected when documents are deleted. Any required corrections must be handled manually.

This rule applies to all processes using Shipping Notes and Transfer Journals:

  • Purchase Orders
  • Sales Orders
  • Return Orders
  • Transfer Orders

NOTE: In all cases, a Shipping Note can only be deleted when no related Transfer Journals exist, ensuring consistent and traceable packaging balance management.
