View hour balance status for all employees

Navigate to Cepheo® > Timesheet > Inquiry > Hour balance status

Open the Hour balance status form to view hour balance status for all employees or employees in your team.

The Hour balance will always be open with the filter My team information, but no calculations are performed automatically. Similarly, switching to the All workers view loads all workers are loaded, but does not trigger calculation.

The Hour balance status is a snapshot of the Hour balances. Click on Calculate to refresh the Hour balances.

Calculation filters

You can select one or more workers in the grid and press Calculate to limit the calculation to those workers

My team information

You and all workers reporting to you are loaded.

All workers

All active hour balance workers are loaded.

From date

Calculation period start.

Last posted opening balance for Hour balance is used If no date is selected.

To date

Calculation period end

Today's date is used if no date is selected.

Include inactive workers

Enable this parameter to  include inactive users in the hour balance calculation.

Inactive users are only loaded after the calculation has been executed.

How to setup calculation of Hour balance status

Click on Setup to open the Setup dialog

Select which column in Hour balance status to be calculated

Hour balance ID

Select which Hour balance ID is to be calculated

Calculation type

  • Open:
    • Calculates all hours in open or pending timesheets/hour journals.
    • It will never calculate dates before last opening date.
  • Posted:
    • Calculates all posted hours in Hour balance transactions.
    • Default from date is the start date for the Hour balance worker.
  • Accumulated:
    • Calculates all posted hours in Hour balance transactions.
    • It will never calculate dates before last opening date.

Label

Enter a text that is displayed as label for the column.

A combination of Name of Hour balance and Calculation type will be used if no label is set

Basis of the calculation

A simplified view over all Hour balance transactions used to calculate the total for selected Hour balance calculation.

Hour balance transactions

A detailed view containing all Hour balance transactions in the selected period.

View Hour balance status in Employee self service

It is also possible to view the Hour balance status in the workspace Employee self service.

Navigate to Workspaces > Employee self service > My team (1) > Hour balance status (2)
