Printing of sample labels

The goal for this feature is to give the possibility to use the standard Warehouse management framework for label printing, to set up, route and print out sample labels for samples and sample types.

When setting up the document routing for labels, observe that each warehouse where samples or sample types can be stored must be part of the setup. Otherwise, the document routing is not able to find the printer and layout to be used.

Label layout merging inventory data

This is done by selecting fields available for data merging in the document routing layout. Fields with prefix EGLQSM are unique fields for quality samples and -sample types. The remaining fields are WHS fields carrying sample relevant information.

The following fields and available for label design:

  • Label information
  • $LabelReportName$ = Name of the report
  • $LabelId$ = ID for the label generated
  • $LabelFormat$ = Format for the label
  • Quality sample
  • $EGLQSMSampleId$ = Quality sample ID
  • $EGLQSMSampleSampleTaken$ = Quality Sample taken time
  • $EGLQSMSampleSampleTakenBy$ = Quality Sample taken by
  • $ItemId$ = Item number
  • $EGLQSMSampleRegQty$ = Quality sample quantity
  • $EGLQSMSampleInventRefType$ = Quality sample reference type
  • $EGLQSMSampleInventRefId$ = Quality sample reference number
  • $EGLQSMSampleStatus$ = Quality sample status
  • $InventSiteId$ = Site
  • $InventLocationId$ = Warehouse
  • $WMSLocationIdFrom$ = Location
  • $LicensePlateId$ = License plate

The above shown layout, generated using an external label designer, will print a sample label, merged with data in the fields starting and ending with a ‘$’ sign such as: $EGLSampleId$. The printout could look as shown below:

Document routing

Printing of sample labels is controlled by the document routing for WHS, where a new work order type for ‘Quality control’ has been introduced. Thereby the different label layout and printers to be used for sample labels can be set up.

The form for setting up the Document routing can be found in [Warehouse management / Setup / Document routing / Document routing]

Note: Remember to set up a record per warehouse where labels, e.g., the sample labels, will be printed. An example is the warehouse used for sample in the laboratory which standard values are setup in the CEPHEO Quality Sample Management solution inventory parameters on tab page 'Automatic quality orders'.

When printing sample labels, one label will be generated if no sample types are assigned to the sample. If sample types are assigned to a sample, one label for each sample type will be generated.

Path: (Quality / Common / Samples) The form showing samples has been extended with the possibility to manually request printout of sample labels and sample type labels.

If print is activated from the sample:

If the sample is setup without sample types, one label will be printed. The document routing will be using the current storage warehouse for the sample (not the origin warehouse). If the sample is setup with one or more sample types, one label for each sample type will be printed. The document routing will be using the current storage warehouse for the sample type. The storage warehouse for the sample will not be shown in the sample form.

If print is activated from the sample type:

One label will be printed for the chosen sample type. The document routing will be using the current storage warehouse for the sample type.

When manually creating a sample, using the ‘Create sample’ menu, the dialog for creation of samples will also have the possibility to print sample labels at creation of the sample.

This require the parameter in the dialog for ‘Print labels’ to be chosen. The printing will follow the same rules as for manual printing of sample labels.

For creation of samples using a Remote device, the framework for setup of mobile device menu items has been extended with the activity code ‘Create sample’ for each reference type available for samples. As part of the setup, the menu item can be set up to print sample labels, when samples are created.

When the menu item is set up for printing of sample labels, the document routing for the work order type ‘Quality control’ will be activated and the labels will be printed accordingly.

User roles for sample labels

Access to set up and print sample labels in Warehouse Document routing, Document routing layouts and Mobile device menu items , is controlled by use of standard Warehouse roles.

Access to manual print of sample labels is controlled by use of the quality roles as described in the paragraph 12.
