Functionality overview - Create sample

Cepheo Sample and Quality Management introduces the ability to create a sample directly from the mobile device application. For this purpose, a new Create sample activity code has been introduced and can be used in the mobile device menu setup.

This feature is especially useful for warehouse workers who encounter a product issue during handling and want to create a sample for a specific batch to be tested or evaluated outside the standard processes that automatically generate samples.


Configuration - Create sample

This function is accessed via a mobile device menu item (Warehouse management > Setup > Mobile device > Mobile device menu item) configured with the activity code Create sample type in Indirect mode, as shown in the below figure:

In the Quality and Sample Management module, a sample can be created with reference to multiple object types. Repeatedly selecting the appropriate reference type can be inconvenient in daily operations. Therefore, to simplify task execution and reduce complexity on the mobile device terminal, a separate mobile device menu item must be created for each reference type. This applies to the reference types listed below.

  1. Inventory
  2. Sales
  3. Purchase
  4. Production
  5. Route operation
  6. Co-product production
  7. Return orders
  8. Transfer order

Regardless of the above, additional configuration elements are also available, as highlighted in the figure below.

  1. Print label - If is set to Yes, the system automatically prints a sample label after the sample is created.
  2. Automatically register sample in lab - If is set to YES the sample that is created is also automatically registered in lab which could result in quality orders to be created.
  3. Skip inventory validation - If this parameter is set to Yes, it allows a warehouse worker to create a sample in the Warehousing mobile app without providing a License Plate ID.
  4. Quality status - Optionally, a Quality status can be selected in this field, which will be assigned to the created sample.
When a sample is created using the Warehouse Mobile App, the sample quantity is determined exclusively based on the Item sample type that is assigned to the relevant item.

Operational Process - Create sample

The user initiates the process by scanning the item code

The next field to enter or scan is the batch number and press OK

In the next step, the system prompts the user to scan the License Plate number on which the sample is located.

If the Skip inventory validation parameter is set to Yes, this step can be skipped by pressing OK. In this case, the system automatically assigns the next available License Plate ID based on the configured number sequence.

Then enter/scan the location from which the sample is taken

Next value to enter/scan is the reference number – In this case the purchase order ID .

The last field is the Quality sample ID, you can choose just to activate the OK button (in this case the ID is allocated from the number sequence setup for Quality samples) or to enter a unique ID to separate the sample ID's based on where/who created the 'on the fly-sample, this could also be scanned from a list of sample labels used for sample created by warehouse workers or quality management personnel:

On the last page you can see the sample information as well as any sample types that have been set up for the item and when information is confirmed by pressing the OK button an Infolog will show the new status.
