Update Advance Quality Order Phase based on Quality Order Status

Functionality overview - Update AQO Phase based on Quality Order Status

Cepheo Quality and Sample Management introduces a functional toggle called Relate phase to status within the Advanced Quality Orders (AQO) framework. This feature synchronizes the AQO phase with the order’s validation status to ensure that the phase accurately reflects the test outcome, regardless of whether Priority 1 tests are included.

The AQO phase is determined by the results of Priority 1 tests, while the Status is determined by the results of all tests, regardless of their priority. This may cause several issues:
If Priority 1 tests have passed, but the results of Priority 2, 3, or 4 tests have failed, the phase will be set to Completed in spec, while the Status will be Fail.
If the advanced quality order does not include any Priority 1 tests, the Advanced quality order phase will remain at its initial value, regardless of the order’s Status.
If manual validation of Priority 1 lines is not performed, the order may have a Status of Fail or Pass, but still remain in the Created phase.

Configuration - Update AQO Phase based on Quality Order Status
  • Open the Test group form.
  • On the General tab, locate the option Relate phase to status.
  • Set this toggle to Yes.

Operational Process - Update AQO Phase based on Quality Order Status

For example, an Advanced Quality Order has been created that contains three tests, but only one of them is assigned Priority 1, as shown in the figure below. For this AQO, the Relate phase to status toggle is set to Yes.

The recorded results for the Priority 1 test are correct. Because automatic validation is enforced for Priority 1 tests, the system validates the order immediately after the result is entered. As a consequence, the Advanced quality order phase is set to Completed in spec.

The remaining tests have not been executed, therefore the entire order remains in the Open status, as shown in the figure below:

The remaining tests have been completed; however, the results indicate quality issues. Therefore, after validation, the order Status is set to Fail. Because the order Status has been set to Fail, the system updated the Advanced quality order phase to Completed out of spec, as shown below:

For an analogous scenario, but with the Relate phase to status toggle set to No, the order Status will be Fail, while the Advanced quality order phase will remain Completed in spec, as shown in the below figure:

How did we do?

Fail immediately
