How to enable automatic transfer of test results to batch attributes

Transferring test results from Advanced Quality Orders to batch attributes is a necessary proces to get the BCOA complete. This is often a manual proces, where the choice of which test results to transfer is done by a person.

The Cepheo Advanced quality and Sample management module introduces several possibilities to automate the proces.

The primary goal of this manual is to automate the transfer of quality test results to speed up processes without compromising the work of preparing the BCOA  

Overview

The ability to accurately transfer test results to finished goods batches is crucial for maintaining product integrity and ensuring compliance with quality standards. In this manual, we will explain each setup item.

It is important to notice that setting up automatic transfer of test results to batch attributes requires professional attention to ensure that the correct tests and results are transferred and avoid that wrong data is transferred.
Setting up automation does not remove the responsibility from users of the system to ensure correct transfer of correct data.

Setup on test group header

The code is triggered by the following settings on the Test Group, which is copied to the Advanced quality order.

The "Update batch disposition" and the two settings under Automatic Validation have been a part of the module a long time.

The update is triggered when the priority 1 tests and/or the Advanced Quality order is validated.

It is possible to validate both priority 1 tests and the Advanced quality order manually by pressing validate buttons.

Update batch disposition enables the transfer on a general level. Without this toggled to yes, no transfer will take place automatically.

The two settings Auto validate priority one lines and Auto validate advanced quality order under Automatic Validation will enable the automatic validation if all Priority 1 tests are completed or when all test are completed.

If both are toggled to yes the Update batch disposition will be triggered two times on an Advanced Quality Order with at least 1 priority 1 test.

Automation of transfer settings

Three settings under automation of transfer also controls when and what is transferred

If Skip if value exists is toggled to yes, the system will not overwrite the value in batch attributes even if more results are entered.

Only for full set of tests controls the Advanced Quality Order towards the test group. If toggled to yes and the Advanced Qualit Order created from this test group does not contain the same amount of tests as the test group, the transfer will not take place. This is very valuable if the test frequency is used and the transfer of test results must only happen from the same Advanced Quality Order.

Example: A test group contains two tests. Test A is triggered every time, but Test B is only triggered on every second Advanced Quality Order. If transfer of test results is only supposed to be triggered from one Advanced Quality Order, it is important that all tests are present on the Advanced Quality Order which is the base for transfer.

This setting is ensuring that.

Transfer only if completed in spec is the option to decide if tests can be transferred even if they are out of spec. For some industries this is a requirement. See this article to learn more.

There is a setting on the test group line to control the individual tests.

There are two setting on test group line level to control the transfer.

The Update inventory batch attribute on test group line level lets you control if the individual test should be able to transfer to batch attributes.

The Transfer only if valid controls whether out of spec values can be transferred or not for that specific test.

Setup for batch attributes.

The base for the functionality is the attribute setup on the released products.

The attributes must be active under product specific and customer specific found under "manage inventory" in the batch attributes section.

As explained in  Microsoft Learn the product specific setup lets you choose the different product specific attributes and then connect attributes and set tolerances for customers.

Without this setup, no attributes will be transferred.
