Document overview groups

This functionality will enable you to get a complete overview of attached documents, files and notes taken for a particular record. A setup is available to also show all related document types needed by the parameters defined.

Menu for showing documents as an overview for a data structure, is available in forms showing the following type of data:

Product (Manage inventory / Quality / Document overview)

Batch (Document overview)

Test group (Document overview)

Test (Document overview)

Quality order/Advanced Quality orders (Document overview)

Quality order line/Advanced Quality orders (Document overview)

Setup of document structure

For each type of data, a setup can be made to define the hierarchy of documents, that you want to see. Not all types of data can be setup for every source, this is dependent of the data structure in D365FO.

The setup is available at [Organization administration/Setup/Document overview groups/Document overview groups]

The below example is setup of a document overview from a Batch-perspective.

It is not mandatory to setup specific overview for all types of view. When setting up the "View from" = Default, this setting will be used when no specific (active) setup is available for the type of data.

If more Document overview groups are wanted for the same source (View from), one of the document overview groups can be chosen to be the default one. The document overview group setup as default, will be the one presented when opening the document overview form from that source.

View documents

The above setup will have the following result: When asking for Document overview from the Batch form, documents related to the Batch, will be shown from Batch, Quality orders that are created for the Batch, the Product, Quality order lines testing the Batch and Quality order line results (Test results) for the Batch. The document types to be included will only be of types: File, Image and Notes.

The document handling form will show the documents as defined in the document overview group, and information such as reference and reference number of the document origin are available.

If available, another document group can be selected. The Document handling will show information according to the selected document group.

Information of period (days) can be changes. The period is used as filter, and if a number of days is given – only documents newer than the number of days will be shown. The number of days can be setup as a default value for the document group.
